1. Does the software fit your material structure?
In the demo, ask to enter one of your own materials. For plate: length, width and thickness; for pipe: diameter and wall; for welding wire: diameter and kilograms — as separate fields? On PED / ASME jobs, can certificate and incoming inspection attach to the item? If not, the team will keep typing into a “description” column and traceability stays on paper.
2. Does the chain break between quote and production?
On order-based work, the job starts with RFQ and quote. When a quote is won it should become a project; project demand should drive purchasing; incoming material should reach production through job prep. Drawing and manufacturing-form revisions must show on the project — shipping an old revision to the shop floor is the costliest mistake. If one link stays in Excel, deadline surprises come from there too.
3. Can you track project labor and decisions?
In machine building, cost is not only material. Planned labor hours should compare with actual regular and overtime; project meeting decisions should be recorded with owner and due date. Without that, “how many hours did it take?” and “who decided what?” fall back into email threads.
4. How heavy are install and maintenance?
On-prem systems leave server, backup and updates to your firm. On an ERP Program that load sits with the provider; office, shop and field teams use the same system from a browser. Ask plainly in selection: “Do we have IT for this?”
5. Permissions and audit trail in a busy team
Warehouse, QC, purchasing and project teams open the same record for different reasons. Role-based access and a “who changed what?” history should rank high — especially on incoming rejection and reservations.
6. Will the team like the UI?
